Rental Policies

Thank you for choosing Beach and Mountain Rental, LLC for your vacation experience!

Please take time and read through the policies and procedures before booking your stay. It will be your responsibility to know and follow.

When reserving, you will be acknowledging that you have read and agree to the terms and conditions. By signing you are also authorizing Beach and Mountain Rental, LLC to charge the credit card given at the time of booking for rental charges, and for any damages that may occur to the property during your visit.

 

Pre- Registration

You will need to E-Sign the rental agreement and initial the 7 sections provided. You will also be asked to upload a copy of your driver's license or state issued ID. 

You will receive your directions and important check in information once you pre-register.

Deposits/Payments

Your reservation will require half of your rental rate, plus a $75 processing fee at the time of booking. If you are arriving 15 days or less prior to your arrival date, the full amount will be due at the time of booking.

The balance will be due 15 days prior to your arrival. You have the option to log in to your guest confirmation portal and pay the balance, If you choose not to, we will automatically charge it to the card on file 14 days prior to your arrival.

We accept the following as forms of payment: MasterCard, Visa, and Discover.

The reservation has to be in the name of the card holder. If you are booking for a second party, please contact the office, do not book online.

Cancellations

We do offer a Cancellation Protection option. It will be 9% of your reservation. This is an optional charge. If you choose this option and need to cancel your reservation up to 5 day prior to your arrival, you will receive a full refund, except for the cost of the Cancellation Protection charge. Inside the 5 days of your arrival, even with the Cancellation Protection, you will only have the option to reschedule your visit.

If you opt out of the Cancellation Protection, you will only be allowed to reschedule your visit, you will not receive a refund.

Occupancy and Age Restrictions

All beach properties will require a minimum age of 25.

One and two bedroom mountain rentals minimum age requirement is 21.

Three bedrooms and larger, mountain rentals, the age requirement is 25 and older.

The minimum occupancy is listed on each rental. We cannot exceed that number of guests in the rental. The rental agent does reserve the right to deny services to any person that violates the policies. If you are found to be in violation of the policies, you will be asked to leave with no refunds given.

Check In

Our check in time begins at 3 PM EST* for our mountain rentals and 4 PM EST for our beach properties.

On the day of your arrival, we will text you with the key code to your rental.

We ask that you acknowledge the text so we know you received the information you will need for check in. (Please make sure we have a current cell phone number on your reservation, so that we will be able to contact you with your check in information.) If you have not received the code by 4 PM EST, please call our office at 865-366-9632.

*While we do make every effort possible to have your rental ready by check in time, there could be a slight delay during holidays or special events in the area. Your patience will be greatly appreciated.

If you have a reservation and do not show up for your reserved dates, you will automatically forfeit all payments.

Check out

Check out time is 10 AM EST. Late departure will result in a $100.00 minimum fee. Should you find it necessary to leave earlier than your reserved departure date, no refunds will be given. This will include inclement weather.

Upon check out:

*Please wash all dishes and put them away. If your rental is equipped with a dishwasher, load and start. 

*Please place all dirty linens (sheets & towels only) on the bathroom floor.

*For the safety of our staff and pre-treating purposes, please notify the office if any of the linens have been soiled by spills, accidents, blood, urine, or any other bodily excrement. If we are not notified, there will be a charge to replace the items.

*Empty all contents from the refrigerator.

*Place trash in outside trash cans.

*Do not dispose of hot ashes, fire logs, or coals from your grill or fireplace in the trash cans. Place them in the marked ash cans that are provided.

*Turn off all lights, small appliances, and set the thermostat to 65 degrees in the winter months, and 75 degrees in the summer months.

*Please make sure that all doors and windows are locked upon departure. If your rental has a key lock box, please make sure that the key is placed back in the box. If your rental has an alarm, please activate the alarm.

*Please do a final walk through of the property before leaving. We are not responsible for lost or left behind items.

Damage/Violation/Excessive Cleaning

If there is a need for extra/excessive cleaning upon your departure, you will be charged a minimum of the following:

*Dirty dishes-$75.00 minimum

*All of our rentals are non smoking. The charge for smoking in a rental will be a minimum of $300.00.

*No soaps, oils, or bubbles are allowed in jacuzzi or hot tubs, if used a minimum fee of $100.00 will be charged.

Hot tub covers that are broken or damaged: $400.00 minimum.

*If furniture has been moved, and not replaced, there will be a $100.00 minimum. DO NOT MOVE POOL TABLES!

*Fireplace use out of season or (fireplace use is October 1st to April 1st) tampering with gas logs: $200.00 minimum

Theft, vandalism, or intentional damage will be photographed and reported to local authorities and legal action will be taken.

Due to strict fire codes, rentals are not to be used for parties or gatherings that exceed the sleeping capacity of the rental. Violation will result in immediate eviction of the property.

If a guest is forced to be evicted for policy/procedure violation, there will be no refunds issued.

Pet Policy

Not all of our mountain rentals are pet friendly but a few select ones will accept dogs only, 50 lbs and under with prior arrangements made with the office and non-refundable pet charge of $80 per dog, two dog maximum. Unfortunately none of our rentals will allow cats or other animals.

Beach properties that are pet friendly will accept dogs only, 50 lbs and under with prior arrangements made with the office and non-refundable pet charge of $250.00 per dog, two dog maximum.

Please be aware that beaches in South Carolina, pets are not allowed on the beach from 10 AM EST - 5 PM EST, May 1-September 15. Pets must be on a 7-foot leash at all times and pet waste must be picked up. The County will issue citations ranging from $100 to $500 for violating these policies.

The resorts that the pet friendly South Carolina properties are located, do have breed restrictions as follows: No Pit Bulls, Rottweilers, or any other dangerous or exotic pets. These are policies of the resorts, not Beach and Mountain Rental, LLC.

None of our Florida properties accept pets.

You are required to clean up after your pet, inside and outside. You will be responsible for any damages that may be caused by your pet. If you leave the dog(s) unattended in the rental, please make sure they are crated during your absence.

If a pet is found to be in a rental without prior arrangements, or a non pet friendly rental, there will be a minimum charge of $500.00.

TV-Internet-Phone

Each property has a form of TV service, either cable, satellite, or streaming services.

Most of our properties have WiFi service, but not all of them. It will be listed in the amenities, so please make sure to verify the rental has it if you will need the service.

Cellphone service can be spotty in the area. Most properties do not have landlines.

Fireplaces

Most of the rentals have either gas, electric, or wood burning fireplaces.

If your rental has a gas fireplace, DO NOT move or rearrange the logs. They are set in a specific way to burn the gas properly, moving them will cause the fireplace to not work properly and could become a hazard with smoke or fumes. DO NOT use wood in gas fireplaces!

Many of the gas fireplaces operate on a timer and will not operate without the timer being turned on and they will automatically shut off when the set time has ended.

We do not supply firewood, starters, or matches for wood burning fireplaces. You can purchase these items at our local grocery stores, Wal-Mart, and several gas stations in the area.

Fireplaces are operational starting October 1st and they will be shut down starting April 1st.

Hot Tub/Jacuzzi

The registered guest will be responsible for notifying their party of potential hazards.

Children, or any person that is pregnant or has health issues, such as heart conditions, sensitive skin, or open wounds, should not use hot tubs.

Alcohol or drug use, illegal or prescription, is not recommended for hot tub use.

Please consult a physician prior to use.

Hot tubs are cleaned and chemically treated, after each guest. However, to make your hot tub experience safer, it is recommended to turn on the jets and run for 10 minutes prior to entering the hot tub. You should always shower before and immediately after use.

No food or drinks are permitted in the hot tub.

Covers should remain on the hot tubs at all tubs when not in use.

If the hot tub is cold upon arrival, please be patient as it may have been dumped and refilled with cold water at the time of cleaning. DO NOT adjust the temperature at this time and please leave the cover on. If there is no change in the temperature after an hour, please notify the office.

Do not randomly push buttons on the hot tub, you can cause your hot tub to go into a sleep mode, stop heating, or stop working.

Excessive splashing can cause the water to reach the control panel and cause the control board to stop working; please keep splashing to a minimum.

Hot tub use is strictly at your own risk! Using the hot tub, you are absolving the owner, rental management company, service providers, and cleaners of any responsibility related to the hot tub and/or its use.

Supplies & Linens

All of our rentals have a fully equipped kitchen that includes basic cookware, dishes, utensils, coffeemaker, and microwave. Every rental has a heating and air source, TVs. Some, not all, include dishwashers and hot tubs.

Each property is individually owned and each owner has the final say in what the property is equipped with. Bed sizes and rental descriptions, and amenities may change without notice. If it is a significant change, we will do our best to notify you.

We do provide bed linens, bath towels, kitchen towels, and sleeper sofa sheets, if equipped. We do suggest that you bring beach towels for hot tub use, if equipped.

For beach rentals: Please bring beach towels and do not take the rentals towels to the beach.

We provide starter supplies of roll paper, paper towels, bar hand soap, trash bags, dish washing liquids and/powder. We do try our best to keep the properties supplied, however, if you find something missing, please notify the office during business hours.

Mountain Rentals: For clean linens during your visit, if your rental has a washer/dryer, you can wash the towels at the rental (no detergents provided). If your rental does not have a washer/dryer, you can call the office and arrange for an exchange at our office, located at 821 Dolly Parton Parkway Sevierville, TN 37862 during office hours. We do not provide maid service during your visit. If you need maid service during your visit, please make prior arrangements with the office.

Beach Rentals: There is an onsite, coin operated laundry facility. If soiled bed linens need to be exchanged, please notify our office at 865-366-9632 before 5 PM EST.

Water-Wildlife-Bugs
Mountain Rentals:

Some of the rentals in the area have well water which can have sulfur water, which can have a rotten egg/sewage type smell. Some properties will have a water filtration system. A filtration system does not completely guarantee that the odor will be completely eliminated. If you have concerns, please contact the office during business hours.

All of our rentals are on a monthly pest prevention service; however, this does not completely eliminate all the “critters” in the area! You may still see pests in the rentals. This does include bed bugs, we are vigilant with a prevention process, but we cannot 100% guarantee that our properties will not get them. We are not responsible for any pests that enter the properties.

You are in the mountains, so spotting wildlife is likely! DO NOT approach and DO NOT feed! Use caution!

Beach Rentals:

All of our rentals are on a monthly pest prevention service; however, this does not completely eliminate all the “critters” in the area! You may still see pests in the rentals. This does include bed bugs, we are vigilant with a prevention process, but we cannot 100% guarantee that our properties will not get them. We are not responsible for any pests that enter the properties. 

Daytona Beach:

Sea turtle nesting season is May 1st through October 21st. It is unlawful to disturb sea turtles, their nests, dunes, and vegetation.

During Sea turtle season, lights cannot directly or indirectly illuminate the beach or be visible from the beach during the sea turtle nesting season. If you need further information, please call the Natural Resources office at 386-238-4668.

Mechanical Failures/Inclement Weather/Refunds:

We make every effort to ensure all equipment is working properly, however we cannot guarantee it to work 100% of the time. If you find something not working or it stops working properly during your visit, please contact the office during business hours. If the office is closed and the malfunction is an immediate hazard, please contact the after hours emergency number. We will do our very best to remedy the situation in a timely manner.

If the electricity goes out, the Sevier County Electric System has a system that is automatically notified. If you are unsure that it is an area outage, please contact the office.

Please note, many of our rentals have electric water pumps, if your rental has an electric water pump, you will not have water during a power outage.

Due to the mountainous area, many properties will require 4 wheel drive or chains in the event of inclement weather. If you have concerns, please call the office.

Please be prepared for emergency situations, have plenty of food, water, flashlights, batteries, etc.... We do not do rescue missions. If you can't get out, we can't get in!

We do our best to make sure the rental is ready for your visit, but things can go wrong that are out of our control. We do not give refunds for mechanical failures, power outages, any consequence of a power outage, inclement weather, etc....

Renter agrees to notify the rental management company of any damages to the premises that result from the renter's and their parties occupancy, (including furnishings and household items) and/or damages found upon arrival, during business hours. If you arrive after hours, and the issue is a hazard, please notify the after hours emergency.

By accepting this reservation, it is agreed that all guests of the registered renter are expressly assuming the risk of any harm arising from their use of the premises or others whom they invite to use premises.

Mountain Rentals:

If the electricity goes out, the Sevier County Electric System has a system that is automatically notified. If you are unsure that it is an area outage, please contact the office.

 Due to the mountainous area, many properties will require 4 wheel drive or chains in the event of inclement weather. If you have concerns, please call the office.

If you are traveling during winter months, we advise that you keep an eye on the local weather and/or road conditions.

 Beach Rentals:

If the electricity goes out, we have an onsite person that will notify the electric service providers of the outage.

 Hurricane/Storm Policy

*Hurricane Season Typically Runs from June to November.

*Hurricanes are natural disasters that are out of our control. Please plan accordingly as they can be life-threatening. We recommend that you identify an evacuation route prior to arrival and plan ahead where you would go if you are told to evacuate.

*If authorities issue a Mandatory Evacuation, all Beach and Mountain Rental guests will be required to vacate the rental property.

*Failure to obey an evacuation order is a violation of both South Carolina and Florida laws. Do not delay you evacuation!

*We do not issue refunds for inclement weather. The only exception will be in the event of an official mandatory evacuation by authorities after you have checked in. Your refund will be pro-rated for the unused portion of the rental rate in your agreement. No cleaning or other fees will be refunded.

*If a Mandatory Evacuation is issued prior to your stay, we will do our best to reschedule your reservation after the storm has passed and it is safe to travel to the area. We do recommend the Cancellation Protection that will give you the option to cancel and request a full refund, minus the cost of the Cancellation Protection, up to 5 days prior to your arrival.

*No refunds will be issued for normal inclement weather or road conditions.

 For both Beach and Mountain Rentals, please be prepared for emergency situations, have plenty of food, water, flashlights, batteries, etc.... We do not do rescue missions. If you can't get out, we can't get in! If you are ordered to evacuate, do so immediately.

We do our best to make sure the rental is ready for your visit, but things can go wrong that are out of our control. We do not give refunds for mechanical failures, power outages, or inclement weather. etc....

Renter agrees to notify the rental management company of any damages to the premises that result from the renter's and their party’s occupancy, (including furnishings and household items) and/or damages found upon arrival, during business hours. If you arrive after hours, and the issue is a hazard, please notify the after-hours emergency.  The registered guest is responsible for the negligent acts of their guests.

After Hour Emergency Calls

Our business hours are Monday-Saturday 9 AM EST to 5 PM EST. Our office is closed on Sundays but will take regular calls until 5 PM EST.

The directions you receive to your rental will have an after hour emergency number provided.

Beach and Mountain Rental will have sole discretion as to whether the call is considered an emergency or not.

If the Wi-Fi, TV, hot tub, or any other “comfort” service is not working, please notify the office during normal business hours. DO NOT call the emergency line, as it is for emergencies only.

If there is an actual emergency, please use the number provided. If it is a life threatening emergency, please call 9-1-1

By accepting this reservation, it is agreed that all guests of the registered renter are expressly assuming the risk of any harm arising from their use of the premises or others whom they invite to use premises.
